EPIC Youth (Knox) Administration & Events Assistant
CityLife Church at Knox has an exciting opportunity for an Administration and Events Assistant for EPIC Youth. The EPIC Youth Administration and Events Assistant will support the EPIC Youth Knox staff team and will be responsible for administration and events assistance for EPIC Youth Knox and other EPIC Youth special events.
Key Responsibilities include but are not limited to:

  • Assist the youth department in administration of the day-to-day running of the Youth office, such as reimbursements, money handling, credit card reconciliation, wedding paperwork, pastoral care notifications, recording of meeting minutes, and managing the general youth email accounts. 
  • Assist in the communications for EPIC Youth, including email and SMS communications, any printed materials, social media posts, website updates and organising mail outs when required.
  • Work with the Youth Team in planning and implementing EPIC Youth Knox and other special events (including but not limited to: Room bookings, event set-up, managing the EPIC Knox Café, and catering)
  • Work with the EPIC Youth Team to plan and coordinate EPIC leader’s meetings on a termly basis (including catering, speakers, run sheets).
  • Manage the registrations and sponsorship process for any EPIC Youth Knox events and other EPIC Youth special events, including but not limited to camp. 


The successful applicant will have:

  • Advanced use of MS Word, Excel, PowerPoint and Outlook
  • Proficient spoken and written English
  • Data entry and database maintenance
  • Prior experience in event administration
  • Strong communication skills– ability to liaise and/or negotiate with pastors, staff, ministry team leaders and members of the congregation. 
  • Time management skills and ability to prioritise.
  • Capacity to take initiative and problem solve as tasks require.
  • Be proactive in looking for ways to improve processes and procedures.

Young Adults Events & Administration Coordinator (Knox)
CityLife Knox is currently seeking a Young Adults Events and Administration Coordinator to support our Young Adults Pastor. This position requires a strong communicator and organised team member who will undertake a range of administrative duties to assist and support the Young Adults Pastor
The Young Adults Events & Administration Coordinator will provide administration support for the Young Adult Pastor at Knox for the facilitation of YA ministry. They will oversee planning and coordinating YA events, including monthly ‘Worship and Word’ services and termly ‘Workshops,’ leader’s meetings, the annual YA Camp and other special events that take place throughout the year.

This is a part time position 0.4 FTE. (2 days per week)

Key responsibilities include but are not limited to:

  • Coordination of all General and Special events (including oversight of music, creative, production, room bookings, event shopping, food prep, planning center, rosters, recordings, podcasts, printing, pre-event set up and post-event pack down, and oversight of event details during the event).
  • Planning and implementation of General events, (including, Worship and Word, Workshops and leaders meetings) and Special events (including, YA Launch, Easter Fest, Worship Nights, Trivia Night, Year 12 Transition, Young Marrieds Gathering, EOY Celebration etc.) 
  • Oversee all administration involved with the day-to-day running of the office, such as reimbursements, credit card consolidations, tithes management, the YA email inbox, EFTPOS machine, and recording of meeting minutes.
  • Responsible for the processing and following up of new leader and volunteer paperwork.
  • Responsible for overseeing and coordinating the planning and implementation of YA Camp Auditorium Management (including, music, creative and production) in consultation with the YA pastor and YA staff


The successful applicant will have:

  • Advanced use of MS Word, Excel, PowerPoint, and Outlook
  • Proficient spoken and written English
  • Previous experience in event administration is preferred.
  • Experience with social media content creation.
  • Attention to detail and efficiency.
  • Data entry and database maintenance.
  • Communication – ability to liaise and/or negotiate with pastors, staff, ministry team leaders and members of the congregation.
  • Understanding of OH&S procedures.
  • Time management skills and ability to prioritise.
  • Capacity to take initiative and problem solve as tasks require.
  • Be proactive in looking for ways to improve processes and procedures.
